Position Summary:
The Administrative Assistant, Front Desk works closely with other administrative staff to ensure the smooth administrative operation of the company. This role is responsible for reception and front office administrative duties including, but not limited to receiving guests, managing inbound company phone calls, catering orders, requesting office maintenance, maintaining the cleanliness and preparation of common areas, and assisting with company events. In addition, they will provide support to the President and other mid-level leaders through calendaring, travel booking, expense reconciliation, and other projects as assigned. Typical Duties:
Exercise a high level of professionalism and confidentiality when working with staff, projects and proprietary information
Full calendar management for President, General Managers and other leaders as assigned. Expense reconciliation for multiple credit card holders
Order, set up, and take down of catering for meetings and events
Manage front office, including responding to and directing all calls made to Clark Pacific, greeting and directing visitors and maintaining the professional appearance of the front lobby
Sustain office functionality by working with Facilities Management to provide oversight of building maintenance, office vendor management and multiple levels of logistical support. Maintain cleanliness and functionality of the kitchen/common area, including making coffee, cleaning the coffee pots, and stocking kitchen supplies
Maintain orderliness of storage rooms, keeping an inventory of content
Maintain beverage stock in executive workspaces
Support department projects and initiatives which may include but is not limited to internal company communications, social postings, and data entry
Minimum Requirements:
- Minimum of 3 years’ experience in an administrative position is required
- Familiarity with construction/manufacturing industries is preferred
- Valid CA Driver’s License is required
